A company knowledge base: how to build one people actually use

Exode team5 min read

The documents exist, but finding them is harder than asking a colleague. What a knowledge base is, why people stop using it after a month, and how an AI assistant solves the core problem: search.

HR answers the same question for the fifth time this month. A manager gets interrupted to explain how to file a request. A new hire spends a week looking for the current price list.

The documents exist. The problem isn't that they're missing — it's that finding them is harder than asking a person.

What a company knowledge base is A company knowledge base is a single place that holds policies, instructions, templates, answers to common questions and product materials. Its job is to give an employee an answer in the moment of work, without going to a colleague. Unlike a folder of files, a knowledge base has structure, search, an owner responsible for keeping it current, and data on what people actually use.

Why a Google Drive folder isn't a knowledge base

Plain storage is missing three things.

  • You can't find anything. Searching by file name only works if you already know what the document is called.
  • You can't tell what's current. "Policy_final_v3_FINAL2" is the normal state of things, and employees don't know which file is live.
  • You can't see what's used. You don't know which documents get opened daily and which nobody has opened at all.

What belongs inside

The minimum set that covers most questions:

  • policies and processes — how work is actually done here;
  • instructions for tools and systems;
  • templates: documents, emails, scripts;
  • answers to common questions — leave, requests, access;
  • product or service materials;
  • contacts: who is responsible for what.

Plus the rule without which it all falls apart: every section has an owner and a last-updated date.

A knowledge base is not training

A knowledge base is opened during work, when someone needs to check something quickly. Training is done once, to learn a topic.

That's why a policy delivered as a course doesn't work: nobody will sit through a lesson to find an account number. A working system has both — courses for onboarding and development, a knowledge base for everyday questions.

The main reason nobody uses it

It gets built, it gets launched, and a month later people are back to asking in chat.

The reason is almost always the same: people don't search — they ask. To find an answer in the base you have to guess which section it's in and what words the document is named with. Asking a colleague is faster.

As long as a knowledge base behaves like a library, it loses to a live human. It starts winning when it answers on its own.

An AI assistant instead of search

In Exode the knowledge base works differently. An AI assistant sits on top of your documents: an employee asks a question in plain words and gets an answer assembled from your files — not from the internet, and not from the model's general knowledge.

What that changes:

  • The employee doesn't go to a colleague. The answer arrives in seconds, at any hour, whether or not the manager is busy.
  • No guessing at wording. The question is asked the way it sounds in your head: "how many vacation days after one year."
  • New hires stop being afraid to ask. The same question can be asked three times and nobody sighs.
  • You see what gets asked most. That's a direct pointer to where your policies are missing or badly written.

That last point is usually underrated. The list of frequent questions is a ready-made plan for which documents to rewrite or add first.

Where to start

Don't document every process at once — that's usually how the project dies.

  1. For one week, write down the questions people ask HR and managers.
  2. Collect the 10–15 most frequent ones: that's the content of your first knowledge base.
  3. Upload what you already have — policies, instructions, slides.
  4. Assign an owner and a review date.

After that the base grows on its own: every question it can't answer is the next document.
